Position: Executive Administrator
Location: San Francisco – Oakland Bay Area CA (position primarily remote)
Reports to: Co-Directors
Hours: 20-25 hours per week (start time 9:00 am PT, Monday - Friday)
Compensation: $30/hr. plus benefits

SpeakOut - The Institute for Democratic Education and Culture is a non-profit mission-driven speaker agency and social justice education institute. For over 30 years, our network of speakers and artists have inspired young people and other audiences through in-person and online presentations, workshops, film screenings, performances, consulting, and professional development, encouraging critical and imaginative thinking to address the major inequities of our day and transform a fractured world.

Position Overview
We are seeking a skilled and experienced part-time Executive Administrator who will provide support for our organization’s dynamic and growing programs. The Executive Administrator will work closely with the Co-Directors, speaker representatives, and other staff on a broad range of administrative, clerical, logistical, and promotional duties that guarantee the success of our programs. These include virtual and in-person campus and community engagements and events, e-courses, webinars, Summer Institute, online store, and new and emerging projects like SpeakOut Films.

Executive Administrator Required Skills and Qualifications

  • You are an amazing organizer of projects and details. You have a minimum of three to five years relevant experience and are highly-organized, detail-oriented, and able to effectively plan and prioritize tasks and projects. You’re a quick learner and a whizz at multi-tasking and your critical and creative thinking skills help you take on challenges, solve problems, and get the job done. You exercise independent judgement and handle confidential information with discretion and professionalism.
  • You are passionate about equity and justice. You align with SpeakOut’s educational mission and vision and demonstrate an understanding and active commitment to racial equity and social justice.
  • You’re skilled in a range of tech and software tools. With expertise and ease, you use Mac OS and major office software programs including MS Office (Word, Excel, Outlook), Adobe, Slack, and Google suite. You can juggle multiple calendars and platforms, manage CRM data, or run a Zoom meeting. You look for ways to use office technology for efficiency, and you’re not afraid to try new tools. You’re comfortable working remotely – even when not in a pandemic.
  • You are a collaborative communicator and team member. Your communication is proactive and responsive. With excellent verbal and written communication skills, you can effectively connect with a wide range of stakeholders across lines of identity and power. You enjoy collaborating with team members as we work together for the greater good, but you can also work independently.

Some of the Executive Administrator’s Actual Daily Tasks (The More You Know)

  • Provide administrative support for speaker engagements. Creating contracts, invoices, and speaker schedules. Filling out online forms, helping coordinate travel logistics, and event follow-up.
  • Spread the word about SpeakOut webinars and other educational offerings. Help with outreach efforts via emails (Constant Contact) and across social media as well as targeted promotions for our educational programs – some examples:
  • General day-to-day operations to keep things on track. You know there are many tasks behind the scenes to keep an organization’s wheels rolling – systems management, coordinating and tracking projects, website updates, meetings and communications among staff, board, speakers, and supporters, and even helping fill orders from our online store – these are just a few examples.

Qualifications not required, but a plus:

  • Knowledge of Filemaker database system
  • Knowledge of the Drupal website management system
  • Knowledge of or experience in the educational arena (colleges, universities, high schools - public and private), campus activities, or student organizations
  • Knowledge or experience in event planning, community organizing, or non-profit organizations
  • Experience with graphic design, media, or marketing and promotion
